CHILD PROTECTION POLICY 

Terms & Conditions


1 - MEMBERSHIP
 

This includes, but is not limited to Pool, Gym, Pool & Gym, Class, Golden Years and Student.
We have absolute discretion over whether to enter into this agreement and to accept your application for membership of the Centre.
Proof of age depending on the membership being applied for, may be required.
 
 If your application is accepted, membership will start on the date shown overleaf and will continue until:
 


  • Duration of the Membership expires.
  • Membership is cancelled by the customer (see Section 6).
  • Membership is cancelled by Coral Leisure Ballinasloe (see Section 6). 

 
On acceptance you will be issued with a membership fob personal to you and entitles you to all rights and privileges of the class of membership which you have selected. Entry to the Centre is gained by swiping a valid fob, this is a requirement of all members upon each visit.  Lost or damaged fobs must be replaced, and you will be charged a nominal fee each time.
 
As a member you agree to comply with the rules of membership, facility rules and code of conduct (see Section 5).  These are displayed in the Centre and relate to opening hours, use of facilities and your conduct
Please Note: We reserve the right to make reasonable changes to these rules at any time.
 



2 - MEMBERSHIP FEES
 


All Membership transactions carried out via cheque, cash or card must be paid in full at the time of application.
Under no circumstances can any membership begin without all relevant documents being signed and full payment made in advance.
 
There is no membership charge for any child under 2 years of age.
 
Any child included in a family membership must be under 16 years of age.
 
A membership can be cancelled at any time; however, Coral Leisure operates on a strict No Refund Policy (see Section 8).
 
The full Price list and range of memberships is available at reception and online.
 
The Management reserves the right to alter fees, terms and conditions at any time.
 



3– DIRECT DEBIT

A minimum of 3 months Direct Debit contract applies. The first 2 months instalment must be paid upfront. 12-month Direct Debit options include an additional 5% service fee over a Paid In Full 12-month membership.
Your membership will continue for an initial period of 3 months unless properly terminated by you or us in accordance with section 6.
If a membership is cancelled, we are not obliged to provide you with any credit or refund (see Section 10).
 
If you or we end your membership, it is your responsibility to cancel your direct debit arrangements for payment of the monthly instalments.
 



4 - RENEWALS

All existing customers receive a loyalty reward of a 20% discount upon renewal.
 
The Management reserves the right to refuse the renewal of a membership without giving any   reason.
 



5 – FACILITY RULES / CODE OF CONDUCT


All customers must abide by the facilities Rules and Code of Conduct, a serious breach of the facility rules may result in the customer no longer being allowed to avail of our services. In this event we are not obliged to provide you with any credit or refund (see section 10).
 



Rules / Code of Conduct:


Coral Leisure management and staff are committed to maintaining an environment entirely free from discrimination or harassment. We ask that you always conduct yourself in an appropriate manner. We reserve the right to expel or cancel the membership of anyone who does not adhere to our policies or displays inappropriate behaviour (see Section 6).
 



General
 



  • All instructors and classes are subject to change.
  • We request that customers always follow all reasonable instructions from our qualified staff.
  • Persons under the influence of alcohol or drugs will not be permitted into the class.
  • All Members must complete a Health Screening Form before membership can be accepted and are responsible for informing us should their health change in anyway.
  • Alternatively, a member can sign the Health Screening self-assessment form at reception. This must be done at the start of each year/membership renewal.
  • All Members are responsible for informing us of any change in their details.
  • Coral Leisure accepts no responsibility for any belongings or personal items lost, stolen or damaged on the premises.  It is the responsibility of each person to place all personal items in the lockers provided, bags are not allowed in the studio.  Personal belongings found will be placed in lost property for seven days. 
  • Smoking (E-cigarettes included), Photography or filming is not permitted in the building.
  • Last admittance to pool area/gym is 40min before advertised closing time.
  • Details of the centre’s opening hours are displayed in the centre. We may need to change opening hours, but we will, where reasonably possible, display notices 2 weeks beforehand.
  • In the event of circumstances beyond our control, we may be unable to provide a full range of services. For example: temporary closure due to fire or flood. We will do all we can to restore our services as soon as possible.
  • Membership holders must respect pool, gym and studio timetable restrictions.
  • Membership holders must respect capacity restrictions.
  • Management reserves the right at any time to vary these rules and charges at any time.
  • Management reserves the right to refuse admission.


 
Gym & Studios
 



  • The minimum age for class participation is 15 years of age.
  • The minimum age for entrance to the gym is 13 years of age. Persons aged 13,14 and 15 years of age are only permitted use of the facilities cardio equipment.
  • All users must receive a gym induction.
  • The minimum age for use of weights and resistance machines is 16 years of age.
  • Correct attire must always be worn in the Gym and Studio areas. For security reasons peaked caps are not permitted to be worn within the facility.
  • Coats and bags must be left in lockers provided.
  • Bring a sweat towel to the gym/studio and wipe down equipment after use. Anti-bacterial spray is provided.
  • Respect all equipment and tidy away when finished with its use.
  • No food or snacks permitted in the studio/gym or pool.
  • Any damage to equipment must be reported to a staff member.


Pool

  • Children under 11 must be accompanied by an adult in the swimming pool.
  • Swim hats must always be worn when in the swimming pool. 
  • Expectant mothers and people with heart conditions must provide a doctor’s note before using the sauna/steam room.
  • Children under 16 are not permitted in the Sauna, Steam room or Spa pool
  • Please remove all items from changing cubicles and place them in the lockers provided, staff will remove unattended items.
  • Any damage to equipment must be reported to a staff member.
  • No glass items such as bottles are allowed in the pool area.
  • No persons under 16 years of age are permitted to use the pool after 8pm.


Swim Lessons

•  Children must be aged 4 years + to enrol in our Learn to Swim programme.

•  New applicants must be assessed before booking.

•  It is the parents responsibility to book the children into the appropriate group .As advised by the instructor.

•  Full payment is required when booking.

•  Priority enrolment for those who are currently in the lessons. Priority enrolment is done after the assessment on week 8.

•  General enrolment (public enrolment) occurs after priority enrolment has being given to those currently in the lessons. Please call us on (090) 96 45755 for time and date of general enrolment.

•  Priority enrolment is only for the time and day you are currently attending. If you need to switch days you must wait for the general enrolment day.


 
6 - MEMBERSHIP TERMINATION
 


This can be initiated by either the customer or the Management of Coral Leisure Ballinasloe
 



6 (A) – Customer Termination



If a membership is cancelled by the customer, we are not obliged to provide you with any credit or refund. Under exceptional circumstances a refund/voucher may be issued with a pro rata charge of services used, but this is strictly at the discretion of the Centre Manager (see section 7).
 


Should you wish to apply for a cancellation the Centre Manager must be notified in writing via a letter or an email ballinasloe@coralleisure.ie 30 days prior to the requested date.

 

 
6 (B) – Management Termination




A membership can be cancelled by management at any time, reasons for this may include, but are not limited to:
 


Serious or repeated breaches of the membership agreement. For example: using the gym with a pool only membership without having paid the required additional fee.

Serious or repeated breaches of the facility rules (see Section 6).

A member allowing another person to use their membership fob to gain free access into the Centre. Both parties will no longer be allowed to attend the Centre.

Please note: If a membership is cancelled by management, we are not obliged to provide you with any credit or refund.
 



6 (C) – Direct Debit Termination



Your membership will continue for an initial period of 3 months unless properly terminated by you or us in accordance with the section below.
We may end this agreement at any time by sending you a default notice:
 


  • If you commit a serious breach of this agreement or of the facility rules.
  • If any monthly instalment or monthly membership fee remains unpaid after 14 days after the original due date for payment and is not paid within 7 days of a default notice.
  • If you provide us with details which are false when applying for membership and the false declaration would have reasonably affected our decision to grant you membership.

If you do not wish to continue beyond the initial 3 months the Centre Manager must be notified in writing via a letter or an email (ballinasloe@coralleisure.ie) 30 days prior to the requested date.
You must pay all membership fees until the day on which the cancellation notice expires. We reserve the right to end your membership at any time without notice and without giving any reason.
 
If you are unable to use the centre through serious illness or injury that is likely to preclude you from using the complex for a period of at least 2 months we require reasonable evidence of your illness or injury e.g. a doctor’s certificate.
 


  • In this event the Centre Manager must be notified in writing via a letter or an email ballinasloe@coralleisure.ie 30 days prior to the requested date.

 
If you or we end your membership, it is your responsibility to cancel your direct debit arrangements for payment of the monthly instalments.
 


Please note: If a membership is cancelled by management, we are not obliged to provide you with any credit or refund.
 

7 - ONLINE TRANSACTIONS



 
This includes any memberships purchased through our online service.


All online transactions adhere to the same policies and rules set in:

8 - MEMBERSHIP SUSPENSION



 
We allow all memberships to be frozen at any time with a minimum of 1-month suspension: see Appendix 1.
 



10 - REFUNDS



If a membership is cancelled, we are not obliged to provide you with any credit or refund. Under exceptional circumstances (see section 11) a refund/voucher may be issued with a pro rata charge of services used, but this is strictly at the discretion of the Centre Manager.
 



Please note: In the event of a breach of the facilities rules and code of conduct (see Section 8); we are not obliged to provide you with any credit or refund.

11 – SPECIAL CONSIDERATIONS


Under the rare exception of a refund being warranted it is entirely at Management Discretion, reasons may include but are not limited to the following:
 


  1. Illness/Injury - A Doctor's note stating the cause must be presented along with the refund request.
  2. Bereavement in the family.
  3. Relocation - should a customer need to relocate from their living arrangement at the time of registration then this will be taken into account depending on travel impediments.
  4. Complaint - Should a customer feel that they can no longer attend our facility due to a member of staff/customer; then an investigation must be conducted by the Centre Manager and the refund request will be considered based upon the outcome.

 
Please Note: As previously stated the reasons above are taken into consideration by the Centre Manager, but do not guarantee a refund.
 



12 – DATA PROTECTION


Coral Leisure will only use personal information in accordance with the G.D.P.R guidelines May 2018
Coral Leisure has a strict Data Protection Policy in place, the full version is available upon request.
 



13 – ADDITIONAL
 


There is a No Refund Policy on all our Online Transactions: these include, but are not limited to Memberships, PAYGO, Swim Lessons, Fitness Classes/Courses and Pool/Gym Events.

All policies within this document do not affect the statutory consumer rights of the customer.

This Privacy Policy (“Privacy Policy”) is designed to help you understand what information we gather, how we use it, what we do to protect it, and to assist you in making informed decisions when using our Service. Unless otherwise indicated below, this Privacy Policy applies to any website that references this Privacy Policy, any Company website, as well as any data the Company may collect across partnered and unaffiliated sites. We at Coral Leisure are committed to maintaining the trust and confidence of our members, customers and visitors to our web site. In particular, we want you to know that Coral Leisure is not in the business of selling, renting or trading email lists with other companies and businesses for marketing purposes.
In this Privacy Policy, we’ve provided lots of detailed information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.

III. HOW WE USE AND SHARE INFORMATION Personal Information: In general, we do not sell, trade, rent or otherwise share your Personal Information with third parties without your consent. We may share your Personal Information with vendors and other third-party providers who are performing services for the Company. In general, the vendors and third-party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide for the Company. For example, when you provide us with personal information to complete a transaction, verify your credit card, place an order, arrange for a delivery, or return a purchase, you consent to our collecting and using such personal information for that specific purpose, including by transmitting such information to our vendors (and their service providers) performing these services for the Company. However, certain third-party service providers, such as payment processors, have their own privacy policies in respect of the information that we are required to provide to them in order to use their services. For these third-party service providers, we recommend that you read their privacy policies so that you can understand the manner in which your Personal Information will be handled by such providers. In addition, we may disclose your Personal Information if required to do so by law or if you violate our Terms of Use. Non-Personal Information: In general, we use Non-Personal Information to help us improve the Service and customize the user experience. We also aggregate Non-Personal Information in order to track trends and analyze use patterns of the Service. This Privacy Policy does not limit in any way our use or disclosure of Non-Personal Information and we reserve the right to use and disclose such Non-Personal Information to our partners, advertisers and other third parties at our sole discretion.

Google & Weebly analytics – When someone visits www.coralleisure.ie we use a third party service, Google Analytics as well as our website provider, Weebly,  to collect standard internet log information and details of visitor behavior patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google or Weebly to make, any attempt to find out the identities of those visiting our website.
Jotform Coral Leisure uses an online platform called  Jotform to gather information from our customers, including health screening and registration for lessons, classes and courses. Coral Leisure will store information collected for Covid 19 screening and tracing purposes for a period of one month where after it will be deleted unless the information is required by the HSE for contact tracing purposes
All information gathered through Jotform is stored on their servers and can only be accessed by the registered, authorised, Coral Leisure user via a password protected account. No information is stored in our email system. All other information gathered through Jotform shall be kept only for the required amount of under current GDPR regulation.
Jotform Inc safeguards respondents email addresses. To make it easier for you to invite people to complete your forms via email, you may upload lists of email addresses, in which case JotForm Inc. acts as a mere custodian of that data. JotForm Inc. doesn’t sell or make available these email addresses 
Jotform Inc does not sell your data to third parties JotForm Inc. doesn’t sell or share your form responses with third party advertisers or marketers

IV. HOW WE PROTECT INFORMATION We implement reasonable precautions and follow industry best practices in order to protect your Personal Information and ensure that such Personal Information is not accessed, disclosed, altered or destroyed. V. YOUR RIGHTS REGARDING THE USE OF YOUR PERSONAL INFORMATION You have the right at any time to prevent us from contacting you for marketing purposes. When we send a promotional communication to a user via Weebly, the user can opt out of further promotional communications by following the unsubscribe instructions provided in each promotional e-mail.  Please note that notwithstanding the promotional preferences you indicate by either unsubscribing or opting out in the Settings section of the Site, we may continue to send you administrative emails including, for example, periodic updates to our Privacy Policy.




VI. WEEBLY Our Service is hosted by Weebly, Inc. (“Weebly”). Weebly provides us with the online e-commerce platform that allows us to provide the Service to you. Your information, including Personal Information, may be stored through Weebly’s servers. By using the Service, you consent to Weebly’s collection, disclosure, storage, and use of your Personal Information in accordance with Weebly’s privacy policy available at https://www.weebly.com/privacy.   




VII. LINKS TO OTHER WEBSITES As part of the Service, we may provide links to or compatibility with other websites or applications. However, we are not responsible for the privacy practices employed by those websites or the information or content they contain. This Privacy Policy applies solely to information collected by us through the Service. Therefore, this Privacy Policy does not apply to your use of a third-party website accessed by selecting a link via our Service. To the extent that you access or use the Service through or on another website or application, then the privacy policy of that other website or application will apply to your access or use of that site or application. XI. EMAIL COMMUNICATIONS & OPTING OUT We will send you Service-related announcements on occasions when it is necessary to do so. For instance, if our Service is temporarily suspended for maintenance, or a new enhancement is released, which will affect the way you use our Service, we might send you an email.  Generally, you may not opt-out of these communications, which are not promotional in nature.  Based upon the Personal Information that you provide us, we may communicate with you in response to your inquiries to provide the services you request and to manage your account. We will communicate with you by email or telephone, in accordance with your wishes.  We may also use your Personal Information to send you updates and other promotional communications. If you no longer wish to receive those email updates, you may opt-out of receiving them by following the instructions included in each update or communication.
Mailing Lists- When you fill out our membership forms or register online for our newsletter, as part of that registration process, we collect personal information. We use that information for a couple of reasons: to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don't rent or trade email lists with other organisations and businesses.
We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. Child Admission Policy

Children under 11 years of age must be accompanied by an adult.

Adult to Child Ratio: 1 adult: 2 child under the age of 11.

All children not yet potty trained must wear a swim nappy. (Available at reception).

All children and adults must wear a swim hat.

No armbands or flotation devices permitted beyond the 1.2m mark

Larger Family size cubicles are available for getting children changed. These are on your right when you enter the changing village.

All items must be removed from your cubicle and placed in a locker. Lockers are padlock operated. Padlocks available at reception. This ensures cubicles are available for other pool users.

Maximum time allowed in the swimming pool is 2 hours.

Children misbehaving will be asked to leave the pool and if parents are not on site they will be called.


Child Safeguarding Statement

Coral Leisure Ballinasloe is committed to providing a leisure and work environment that places the safety and welfare of children above all other considerations.
 
We aim to ensure this continues and to protect the safety and welfare of all children who come to our centre. All allegations of child abuse will be dealt with promptly, seriously, sensitively and confidentially.
 
Adopting principles of good practice in relation to child protection and safeguarding will ensure that the organisation will help to create an environment in which children are listened to, given a sense of belonging, and kept safe; parents/guardians are supported and encouraged; and staff and volunteers who work with children and young people are  supported and protected.
 
Our Child Safeguarding Statement has been developed in line with requirements under the Children First Act 2015, the Children First: National Guidance, and Tusla’s Child Safeguarding: A Guide for Policy, Procedure and Practice.                                                                                                   

 

We have all relevant procedures including a risk assessment; the following procedures  support our intention to safeguard children while they are availing of our service:
· Procedure for the management of allegations of abuse or misconduct against workers/volunteers of a child availing of our service.
· Procedure for the safe recruitment and selection of workers and volunteers to work with children.
· Procedure for provision of and access to child safeguarding training and information, including the identification of the occurrence of harm.
· Procedure for the reporting of child protection or welfare concerns to Tusla.
· Procedure for appointment and responsibilities of  Designated Liaison Persons.
· All procedures listed are available upon request.
 
We recognise that implementation is an ongoing process. Our service is committed to the implementation of this Child Safeguarding Statement and the procedures that support our intention to keep children safe from harm while availing of our service.


Data Protection Policy

Access Requests by Customers

· Any person has a right to view copies of their own personal data.
· To exercise that right, a person must make an application in writing to the Center Manager.
· The Center Manger must produce the requested information within a time frame of 30 days.
· The Center Manger will arrange a suitable time and date with the person requesting to view their own personal data within the 30 day timeframe.
· At the meeting the person requesting to view their own personal data must produce photographic I.D  to confirm their identity (driving Licence or Passport).




 Access Requests by Customers for CCTV footage

· Any person whose image is recorded on a CCTV system has a right to seek and be supplied with a copy of their own personal data from the footage.
· To exercise that right, a person must make an application in writing to the Center Manager.
· The Center Manger must produce the requested information within a timeframe of 30 days.
· The Center Manger will arrange a suitable time and date with the person requesting to view their own personal data within the 30 day timeframe.
· At the meeting the person requesting to view their own personal data must produce photographic I.D  to confirm their identity (driving Licence or Passport).
· Please note:Retention period for CCTV (generally automatically deleted after 30 days except where the images identify an issue - such as a break-in or theft - and is retained specifically in the context of an investigation of that issue.)


Environmental Policy

At Coral Leisure Ballinasloe we operate a modern, purpose-built facility comprising a 25 meter pool, kids’ pool, fully equipped gym, steam room and sauna. We aim to provide high quality standards of customer care in a friendly and professional atmosphere delivered by expert, enthusiastic and knowledgeable staff. Our facilities and programmes are designed to reflect a lifestyle driven approach focusing on health, fitness, wellness, sport and education to provide for a healthier community.
 
As with all organisations, we recognise that our activities do involve negative environmental impacts. It is our aim to minimise these by;

Our most significant direct environmental impacts arise from the electricity and gas we consume. In order to minimise this, we take steps to ensure that equipment and lighting is only operating when required, and that energy-efficient LED lighting is in use throughout the premises.
We routinely monitor our electricity, gas and mains water usage and operate a segregation system to ensure our waste is recycled wherever possible and landfill waste is minimised.
In all our activities, we aim to be an environmentally responsible member of the community we serve.
 


Disability Friendly Action Plan

Foreword
This Disability Action Plan is a statement of Coral Leisure’s commitment to and proposals for fulfilling the statutory obligations in compliance with The Disability Act 2005. This Act places duties on public buildings, when carrying out their functions to have regard to the need:
 


• to promote positive attitudes towards disabled people; and
 


• to encourage participation by disabled people in public life.
 


Coral Leisure recognises the importance of the statutory duties placed upon it and through this Action Plan will ensure the effective mainstreaming of disability issues within its centres, thus ensuring that they are central to the whole range of policy decision-making.
 
Coral Leisure is committed to allocating the necessary resources in terms of people, time and money, to ensure that the statutory duty is complied with and effectively implemented.

Some pool procedures worth noting :

-There is a lifeguard on pool deck at all times

-Swimming hats are compulsory in the pool and can be purchased at reception.

-Children under 11 years must be accompanied into the water by an adult.

-Babies are required to wear a swim nappy while in the pool, these can be purchased at reception.

-Customers are asked to bring a padlock with them to secure their belongings in the lockers provided


The highly qualified & professional staff at Coral Leisure Ballinasloe dedicate their time to providing customers with innovative exercise classes, gym programmes & swim tuition to help each and every customer achieve their goals.

We have a well established Swimming School run by IWS AMD Swim Ireland qualified swim teachers who teach children from level 1 to level 8. Children as young as 4 yrs of age can join our swim lessons, they run for 10 weeks giving every child the opportunity to progress their skills before moving up to the next level, early booking is advised as places fill quickly. Child Admission Policy


Children under 11 years of age must be accompanied by an Adult into the water.

Children are welcome into our pool from 7am - 8.30pm midweek & 9am - 5.45pm at weekends/ bank holidays.

Adult to Child Ratio:

1 Adult : 1 Child under 3 years

1 Adult :2 Children aged 3-8 years,

with 2 additional children permitted aged 9-11 years.

All children not yet potty trained must wear a swim nappy (available at Reception)

All children and adults must wear a swim hat. (Available at reception).

No armbands or floatation devices permitted beyond the "RED LINE" (see pool deck signage for detail)


Larger Family size cubicles are available for getting children changed.

All items must be removed from your cubicle and placed in a locker. Locks are available for purchase at Reception for €5. This ensures cubicles are available for other Pool users.

Maximum time allowed in the swimming pool is 2 hours.

Children misbehaving will be asked to leave the pool and if parents are not on site they will be called.
